Setup guide

From operator details to your first battery passport scan.

1. Add operator details

Open Settings and enter your EU economic operator’s name, address and contact details, plus the authorised representative if relevant. Keep these details current.

2. Create and publish a model

In Battery models, create a model and complete the manufacturer, category, chemistry and declarations. Public and restricted fields are marked separately. Complete the Completeness panel: supply each required public declaration or a specific N/A reason. Declare hazardous-substance names/CAS numbers or select None above threshold. Add a valid GTIN if available, save, review and publish. Later GTIN changes affect future units only. Only published, non-archived models accept unit imports.

3. Import units from CSV

Open Units → Import units and choose a published model. The required header is serial. Optional headers are manufacture_date (YYYY-MM-DD), manufacturing_place, gtin, order_id and customer_ref. Headers are case-insensitive. Serials are trimmed. GS1 serials preserve case and must satisfy the 1–20-character AI 82 rule. Internal serials without a GTIN retain the broader rule and are uppercased. Review row counts, duplicate serials, existing serials and invalid rows with line numbers, then confirm. Only new valid rows are added, as draft. You can also add one unit manually.

4. Generate and print labels

Select units with checkboxes or set model, status and serial filters. Choose a 15, 20 or 30 mm QR size and click Print labels. Print the A4 PDF at 100% actual size, without fit-to-page scaling. The serial and any GTIN appear beneath each QR. Choose CSV for spreadsheets for formula-safe cells, or CSV for label printers to preserve exact identifiers. For continuous roll stock, choose 50 × 25 mm or 40 × 30 mm and print the one-label-per-page roll PDF (QR, serial, model and passport address), or download ZPL for Zebra printers at 203 or 300 dpi; ZPL uses the printer's native QR command, and non-Latin text needs a Unicode font installed on the printer. Label vendors can use the ZIP of per-unit QR images (SVG and PNG, named by serial). Any generated PDF, ZPL or QR image ZIP completes the dashboard label step; confirm your physical print is readable.

5. Place on market and test a scan

Select the draft units and apply Place on market. Open a unit’s passport URL, scan a printed QR with a phone, and check the identifier, model and language links. A GTIN-based Digital Link redirects to the passport. Keep labels readable throughout the battery’s life. Use status actions to record service, withdrawal and recycling; recycling permanently closes the passport.

6. Access requests and state of health

Review requests in Access requests. Configure the operator notification email in Settings; otherwise the owner’s session email is used. Append capacity, cycles, internal resistance, state-of-health percentage, measurement date and notes on the unit detail page. Existing measurements are retained; the latest measured date supplies current values, and status changes save a measurement snapshot. Import a series at Units → Import measurements with columns serial, measured_at, capacity_ah, cycles, internal_resistance_mohm, soh_pct, note. These per-unit values stay restricted; model baselines are public.

Restricted access & legitimate interest

Visitors submit their email, organisation, purpose, optional justification (up to 1,000 characters) and consent. The operator reviews legitimate interest in Access requests and approves or denies, individually or in bulk, with an optional note. Approval on Standard or Scale emails a private link valid for 14 days. Each view is logged with a salted IP hash. The operator chooses the tier at approval; the requester’s purpose never grants authority status. Legitimate-interest access covers detailed composition including SVHC concentrations, dismantling guidance, unit state of health and the full measurement series. Authority access additionally includes test reports and full performance test data, after authority status is verified out of band. The declaration of conformity is also public. Resend link replaces the old link immediately. Production delivery requires a configured email provider; failed jobs remain retryable. The operator remains responsible for assessing the requester and applicable access rights.

Successor passports for a second life

Open a unit and choose Create successor passport for reuse, repurposing or remanufacturing. You can choose a new published model and a new serial; leaving the serial blank adds a unique -R number (truncating the base if needed for the GS1 length limit). The new passport has a new code, records the operator note, and links publicly to its predecessor. The predecessor is withdrawn and links to the successor. Responsibility transfer between operators is outside this workflow.

Exports for authorities

On Standard or Scale, open Exports to download units.csv, models.csv or passport-bundle.json. The JSON bundle includes operator details, models and revisions, units with their complete measurement series and successor links, access decisions and access-log counts. These files contain restricted data and contact details; share them securely with the relevant authority. The dashboard shows the last export time.

Product safety recalls

Open Recalls to draft a recall notice in the structure of EU GPSR (Regulation (EU) 2023/988) Art. 36: the headline “Product safety recall” in each language, product pictures, name, brand and serial or batch numbers, when and where it was sold, the hazard, what to do (the instruction to stop using the battery immediately is always included), the remedies (at least two of repair, replacement and refund, free of charge, per Art. 37) and a free phone number or online contact. Choose the affected battery models, serial ranges or lists, manufacture dates and unit statuses, and preview how many units and order customers are affected. Publishing puts the notice online at /recall/{code} with a serial lookup and a remedy choice for consumers, adds a recall banner to every affected passport, flags those units and sends the recall.published webhook on Scale. Notify emails each affected customer once, about one per second, and the notification log downloads as CSV for authorities. The passport page also offers a safety-only email registration (Art. 35(2)). Free shops can draft and preview counts; publishing and notifying need Standard or Scale.

API, webhooks and JSON-LD

On Scale, open API & webhooks to create API keys (shown once, stored as a hash) and configure a signed HTTPS webhook endpoint for unit.created, unit.status_changed, unit.measurement_added, access_request.created and recall.published. The REST API lists models and units, creates units with the same validation as the CSV import, changes status and appends measurements. Every public passport is also available as JSON-LD at /p/{code}.jsonld, and GS1 Digital Links answer a linkset with ?linkType=linkset. Full reference: /docs/api.

Plans

Free: one model, 25 units, public passports and QR labels. Standard: $49 USD per 30 days, unlimited models, 5,000 units, restricted access and audit exports. Scale: $149 USD per 30 days, unlimited units, restricted access, exports, the REST API and webhooks. Paid plans have a 14-day trial and use Shopify billing. Standard currently counts all stored units; an annual reset is planned. Downgrading never closes existing public passports or blocks labels.

What happens when I uninstall

Export the passport bundle before uninstalling and arrange continued hosting. After uninstall, published public passports remain read-only with the banner “This passport is no longer maintained by the operator through Voltpass”. Access requests and restricted links are disabled, and approved links expire. Shopify sends shop/redact 48 hours after uninstall; that webhook deletes the shop’s records. Voltpass cannot host passports after redaction. Reinstalling before redaction restores maintenance of retained passports, but old grants stay expired. The operator remains responsible for continuity; recycling still closes a passport.
